1.Who is responsible
Roboquark (Ghazal Pouya and Elham), Vilnius, Lithuania, is responsible (the “controller”) for the personal data described here. Contact: info@roboquark.com.
We follow the EU General Data Protection Regulation (GDPR) and Lithuanian data protection law. We have not appointed a Data Protection Officer, because the law does not require one for an organiser of our size.
2.When you visit this website
- No cookies, no analytics, no tracking and no advertising. We don’t store anything in your browser.
- The fonts and images are part of the website itself, so your browser doesn’t connect to Google or other third parties while you read it.
- The company that hosts the website may automatically record technical data, such as your IP address, the date and time, the page requested and your browser type, in server logs. This is needed to deliver the website and keep it secure. Legal basis: our legitimate interest in running a secure website (Art. 6(1)(f) GDPR). These logs are kept only for a short period.
- When you click “Book your spot”, you leave this website and go to Luma (see section 3).
3.When you book a ticket
Booking and payment happen on Luma, an event platform. When you register, Luma collects your data and shares the following with us as the organiser: your name, email address, ticket type, payment status and any answers you give in the registration form.
Your card details are handled by Luma and its payment provider. We never see them.
We use this data to:
- manage the guest list and check you in at the door;
- send you information about the event, such as the exact venue, timing or changes;
- handle cancellations, refunds and ticket transfers;
- answer your questions.
Legal basis: performing our agreement with you (Art. 6(1)(b) GDPR), and keeping accounting records required by law (Art. 6(1)(c) GDPR). Luma also processes your data under its own privacy policy, which you can find on luma.com.
4.When you email us
When you write to us, we use your email address and your message to reply. Legal basis: our legitimate interest in answering you, or taking steps for your booking (Art. 6(1)(f) or 6(1)(b) GDPR).
5.Allergies, diet and accessibility
If you tell us about allergies, dietary needs or accessibility needs, we use this only to prepare for your visit. Information about your health is processed only with your explicit consent (Art. 9(2)(a) GDPR), which you can withdraw at any time. We delete it after the event.
6.Photos at the event
We may take photos during the evening, for example of the robots and the room. We ask before we take or publish photos where you can be recognised, and we only publish them (for example on our website or social media) with your consent (Art. 6(1)(a) GDPR).
You can tell us at any time, at the event or later by email, that you don’t want to appear. We then remove the photos we control.
7.Who receives your data
- Luma, for booking and payments.
- Our email provider, for the info@roboquark.com mailbox.
- Our website hosting provider.
- Accountants or public authorities, only when the law requires it.
We don’t sell your data and don’t use it for advertising. We only send you news about future events if you agree to it, and every such message has an easy way to unsubscribe.
8.Transfers outside the EU
Some providers, including Luma, may process data outside the European Economic Area, for example in the United States. In that case the transfer is protected by safeguards recognised under the GDPR, such as an adequacy decision (including the EU-U.S. Data Privacy Framework) or the European Commission’s Standard Contractual Clauses.
9.How long we keep data
- Guest list and booking data: until 12 months after the event, unless we need it longer to handle a complaint or dispute.
- Accounting records: as long as Lithuanian accounting law requires.
- Emails: up to 2 years after our last message.
- Allergy, diet and accessibility information: deleted within 30 days after the event.
- Photos: until you withdraw your consent, or until we stop using them.
10.Your rights
Under the GDPR you have the right to:
- get a copy of your personal data;
- have incorrect data corrected;
- have your data deleted;
- restrict how we use your data;
- receive your data in a portable format;
- object to processing based on our legitimate interest;
- withdraw your consent at any time (this doesn’t affect anything we did before).
To use any of these rights, email info@roboquark.com. It’s free, and we reply within one month. We may ask you to confirm who you are.
11.Complaints
If you think we handle your data incorrectly, please contact us first so we can fix it. You also have the right to complain to the State Data Protection Inspectorate (Valstybinė duomenų apsaugos inspekcija), L. Sapiegos g. 17, 10312 Vilnius, Lithuania, vdai.lrv.lt, or to the data protection authority in the EU country where you live or work.
12.Changes to this policy
We may update this policy. The date at the top shows the latest version. If we make important changes, we will tell registered guests by email.
